Complaints and Appeals Policy

Circles is committed to maintaining a safe, respectful and fair community. This policy explains how members can raise complaints or appeal certain decisions made by Circles.
We aim to handle all complaints fairly, consistently and without bias.
You may submit a complaint if you believe:
- a member has breached our Community Guidelines;
- content has been wrongly approved or removed;
- you have experienced harassment, abuse or inappropriate behaviour;
- your account has been incorrectly restricted or suspended;
- you have concerns about the way Circles has handled a moderation decision;
- you believe we have failed to follow our published policies.
If your content has been removed, your account suspended, or another moderation action has been taken against you, you may request a review.
Appeals should clearly explain why you believe the original decision was incorrect and include any relevant information that may assist our review.
Submitting an appeal does not guarantee that the original decision will be changed.
Complaints and appeals may be submitted through:
- the in-app reporting tools;
- the Contact Us page;
- email to support@circlestech.atlassian.net (or another published support address).
Please include as much relevant information as possible, including usernames, dates, screenshots (where appropriate) and a description of the issue.
When a complaint or appeal is received, we will:
- acknowledge receipt where appropriate;
- review the available evidence;
- consider any relevant policies;
- make a decision based on the information available.
Where additional information is required, we may contact you during the review.
Following our review, we may:
- uphold the original decision;
- reverse the decision;
- modify the action taken;
- request further information before reaching a decision.
Our decisions are made with the safety of the wider community in mind.
We aim to review complaints and appeals as quickly as reasonably possible.
While response times may vary depending on complexity and volume, we will make reasonable efforts to keep you informed where significant delays occur.
Knowingly submitting false, malicious or abusive complaints may itself breach our Terms of Service and could result in moderation action.
We encourage members to report genuine concerns responsibly and in good faith.
Following completion of an appeal, Circles’ decision will normally be considered final.
Nothing in this policy limits your statutory rights under applicable law.
